There are many reasons why businesses want certification to ISO 9001 Quality Management Systems, but if your aim is to keep your Management System as simple as possible then the following information will help.

ISO 9001:2015 states which documents and records are mandatory but it uses strange language to do so.  When the Standard says:

  • “Maintain documented information” it means you must have a written policy, procedure, objectives . . . a document explaining how to do something.
  • “Retain documented information” it means you must have records to provide evidence.

On the ISO website there is a list of the documents and records that ISO 9001:2015 requires. Click here to read it. As you can see, the list is quite short. Long gone are the days of thick white folders sitting on a shelf gathering dust.

For many businesses however, there are a number of non-mandatory documents that can be useful because they explain processes that people may not be familiar with such as how to hold a management review meeting, or how to address risks and opportunities.

Additionally, some businesses choose to document all their operational processes. The most common reasons for doing so are because the business:

  • Has grown so that multiple people are performing the same activities and standardization is necessary to ensure efficiency, consistency, and good outcomes.
  • Wants to improve their processes and documenting the current process is a good starting point. Documenting the new, improved process is a good communication tool.
  • Is concerned that there is a risk of a process not being carried out as planned. Documenting the process is a risk mitigation strategy.

When I use the term “document” I’m using it loosely. It doesn’t have to be published in Word, you could use software, images, videos, or whatever tool you deem to be the best form of communication for your business, staff, and subject matter.

No matter which approach you choose, there are clear advantages to keeping it simple and ensuring you are adding value to your business.
